Keeping clients happy while giving staff a break: Five tips for covering the bases

If your company is planning to be closed for the holidays or will be operating with minimal staff, it’s crucial to ensure you still have the ability to service customers or clients during that time.
Here are five tips to make sure that your business is prepared to closed for the holidays while leaving open the possibility that operations run smoothly should needs arise.
1) Give at least one month’s notice to clients and staff if you are closing and ensure the dates of closing are clearly defined to customers and staff.
This can be done through interoffice email and preparation of a standard vacation message that identifies dates and contacts. The heads up to customers will help them plan and ensure there’s no confusion for your staff. Consider combining a holiday e-card message on your website’s homepage so visitors know you’re available if needed, but what your holiday dates/closures are.
2) Provide an emergency contact number should customers or clients need to reach you.
This can be accomplished through personal calls and emails to clients and included in the same standard vacation message that is received when they email or call.
3) Ensure that staff are available to service clients should the need arise.
You want your staff to enjoy their holidays, but no one wants to be surprised by “The (Business) Nightmare before Christmas.” Ask that key staff check their voicemail and emails at least once a day (outside of statutory holidays) during your closure and to ensure they have access to their laptops “just in case”.
4) Make sure you have a process for addressing new business inquiries.
Even though it’s the holidays, not everyone, everywhere will take time off and new business inquiries may come in. Designate one person as the new business contact and ensure that should inquiry calls come in, they are forwarded to their cell phone.
5) Ensure the “to do” list of deadlines is checked off by all staff before the holidays.
Determine which work must be completed before the holidays and put into place the accountabilities to ensure that all requirements have been met before your company begins vacation.
By making sure your business plans ahead and puts a system into place to cover bases as needed, you and your staff will be able to make the most of the downtime and recharge for the New Year!
